Privacy Notice
Last updated: 19 October 2026
This notice explains what information AMD OS keeps about the people who use it, why, who can see it, and how it is protected. It is written in plain language for staff, contractors and advisers of the AMD group.
1. Who we are
AMD OS is the private business system of American Mining Development Corporation (AMD Corp), Toledo, Ohio, USA, and its group companies, including Afrabia, ICPI and Hamat (together, "the group", "we" or "us"). The group company you work for or with is responsible for the information it records about you, and AMD Corp is responsible for running the system.
AMD OS is not a public service. Only people the group gives an account to can sign in.
2. Information we keep
Depending on your role, AMD OS may hold:
- Account details: your name, work email address, company, role and the access your role gives you.
- Work records: contacts, deals, projects, tasks, documents, correspondence, approvals and signatures that you or colleagues enter.
- Employment records, for people who work for a group company: job details, identity and residence documents, leave, expenses, payroll and bank details needed to pay you.
- Activity records: when you sign in, what you change, your IP address and browser, kept for security and audit.
- Small cookies needed to keep you signed in and remember your settings.
We do not use AMD OS to collect information for advertising, and we do not sell personal information.
3. Why we use it
- To run the group's business: managing contacts, deals, projects, documents and finances.
- To employ and pay people, and to handle their leave, expenses and records.
- To keep the system secure: controlling who sees what, detecting misuse and keeping an audit trail of changes.
- To meet legal, tax, employment and record-keeping duties in the countries where the group operates.
5. How we protect it
- AMD OS runs on its own dedicated server, not shared with other systems.
- Connections are encrypted, and sensitive fields are encrypted when stored.
- Backups are encrypted before they leave the server, and only leadership can open them.
- Access is based on roles, passwords must meet a strength policy, and changes are recorded.
6. How long we keep it
We keep records for as long as the business needs them and as long as the law requires, for example tax, payroll and employment records. When an account is closed, the person can no longer sign in, but records they created stay with the company they belong to. Backups are kept for up to 12 months and then deleted.
8. Your choices and rights
You can ask to see the personal information AMD OS holds about you, ask us to correct it, or ask questions about how it is used. Depending on where you live, data protection laws (for example Saudi Arabia's Personal Data Protection Law, or US state privacy laws) may give you further rights, such as asking for deletion where the law allows. Some records must be kept by law even if you ask.
9. Changes to this notice
We will update this notice when the system or the law changes, and change the date at the top. Important changes will be announced to users.
10. Contact
For any privacy question or request, contact your AMD OS administrator or the leadership of your group company.
